Requests and approvals
Requests are how people outside the maintenance team report work without assigning it themselves. MaintenanceOps routes each request to the right manager, keeps the requestor informed, and turns approved requests into normal work orders.
The request flow
Section titled “The request flow”Submitted → Requested → Approved & assigned → Worked → Final closeout review → Completed
If the request should not proceed, it moves to Declined with a reason saved on the record.
Where requests come from
Section titled “Where requests come from”| Source | Who uses it |
|---|---|
| + New request | Signed-in requestors |
| Public request form | People who do not need to sign in |
Both enter MaintenanceOps in Requested status and route based on the selected location. If no manager is assigned there, the request escalates to a Super Admin.
Approve and assign
Section titled “Approve and assign”- Review the request details and location.
- Check for obvious duplicates or missing information.
- Choose the technician, manager, or administrator who should own the work.
- Select Approve & assign to open Guided Approval.
- Complete the required missing information, then select Confirm approval & assignment.
Guided Approval
Section titled “Guided Approval”Guided Approval checks the request before it becomes active work. It preserves information the requestor already supplied and asks the reviewer to complete only what is missing.
Depending on the request, you may need to confirm:
- a due date;
- the site, building, and room or area;
- a category; and
- an asset, or N/A — no asset applies to this request.
Assets are limited to the selected location and its child locations. If you correct the location and a previously linked asset no longer belongs there, choose the correct asset or mark it N/A before approval.
MaintenanceOps may suggest a date, category, location, or asset from the request description. A suggestion is not saved until you choose it and confirm approval.
Decline a request
Section titled “Decline a request”Use Decline when the work should not move forward. A reason is required and is communicated to the requestor.
| Weak reason | Better reason |
|---|---|
| No | Duplicate of WO-1048 already assigned |
| Not facilities | Request is an IT support issue; sent to technology team |
| Need info | Please provide the room number and a photo of the damaged fixture |
Add or change the requestor
Section titled “Add or change the requestor”Managers and administrators can set the Requestor when a problem was reported by phone, in person, or another channel. If the person is not already in MaintenanceOps, use + Add and enter their name and email.
Automatic updates
Section titled “Automatic updates”Requestors can receive updates when the request is received, approved, declined, and finally closed. Managers are notified of new requests and assigned closeout reviews, and technicians are notified when work is assigned or returned for correction.
See Notifications for alert preferences.
A good manager routine
Section titled “A good manager routine”- Confirm the location and problem are clear.
- Check for duplicates.
- Approve and assign legitimate work promptly.
- Decline work that should not proceed, with a specific reason.
