Inspections
The Inspections page answers the everyday compliance question: What has been checked, what is due, and what failed?
Keeping this page current gives you a reliable operating view before an inspector, insurer, or auditor ever asks for records.
Two inspection views
Section titled “Two inspection views”| View | Use it for |
|---|---|
| Equipment | Routine inspection tracking for extinguishers, AEDs, and tagged Life Safety systems |
| Annual AHJ list | The formal yearly authority-having-jurisdiction inspection list |
For routine facilities work, start with Equipment.
Review what needs attention
Section titled “Review what needs attention”Look for three conditions:
- Not inspected — no inspection history exists yet.
- Due or overdue — the next required check is approaching or has passed.
- Fail — the latest inspection found a deficiency that needs corrective action.
Select an item to open its record and perform the next check.
Log an inspection result
Section titled “Log an inspection result”- Pass records the successful check and updates the item’s inspection history.
- Fail records the deficiency and requires a note describing what was found.
For tagged Life Safety systems, you may also be able to use Log pass directly from the grouped inspection list when no additional detail is needed. If the item has an inspection frequency configured, a passing inspection advances its next due date.
What happens when something fails
Section titled “What happens when something fails”A failed inspection starts the corrective process automatically. MaintenanceOps creates or connects a high-priority corrective work order to the item that failed so the deficiency does not become a disconnected note.
The failed item remains visible as a deficiency until the corrective process is completed and a passing result clears it.
See When something fails inspection for the next step.
Write failure notes for the next person
Section titled “Write failure notes for the next person”A useful failure note should make the problem understandable without repeating the inspection.
| Weak note | Useful note |
|---|---|
| Failed | Emergency light did not illuminate on battery test; west stairwell, second floor |
| Extinguisher issue | Gauge below operable range; extinguisher outside Room 204 |
| AED | AED cabinet alarm not sounding when door opens; main lobby |
Include what failed, the condition observed, the exact location, and any immediate safety or access information the technician needs.
A good inspection habit
Section titled “A good inspection habit”Do not treat the inspection page as something you open only before an annual review. Check it regularly so overdue items and new failures become normal maintenance work instead of last-minute compliance cleanup.
